Opentext Integration Services and Workflow Development

E-mail Print PDF

Tech4U Limited specialises in the development of integration and workflow for use within the Opentext EDRM system.  Examples of development work include:

Automated Document Filing
Workflow enables users to save documents in a common directory using SmartOffice, or 'unfiled' using the Windows scanning client, and for that document to be automatically filed in the corporate file-plan.  In addition to document filing the workflow is also capable of creating classes and folders in accordance with a defined schema or plan.  Automatically created classes or folders are identical to those created manually and may contain security and retention rules as well as other metadata if required.

Automated Document Indexing
Documents may be saved into the EDRM system with minimal indexing information.  Additional metadata may then be applied to the index via the use of Middleware and workflow or Smart offixe middleware lookups.  This indexing is often combined with automated document filing to achieve an efficient solution.

Workflow Processes
The design and development of workflow is an essential part of EDRM implementation. Delivering documents to the right teams and people at the right time is important and can improve the way work. Successful workflow systems require detailed analysis and design followed by script development and testing. Process workflows often utilise information from back-office systems incorporated using the Opentext middleware technology.

Back-office Integration
The integration of the EDRM to with the back-office systems is critical to most implementations. Opentext provide a capable integration component which can be used to achieve this. Middleware integration allows data from back-office systems, or the public internet, to be utilised within index cards, file plans and workflow processes. The Opentext SmartOffice product can be used in conjunction with middleware to provide indexing look-ups to allow easy document capture from Microsoft Office applications.

Public Internet
A number of methods are now available for integrating the EDRM with a public facing website to allow the publication of documents to the web. This has been used extensively in the Development Control Planning arena and more recently in the publication of Committee Documents.
